Privacy Policy

How RecoveryPilot handles information across our website, sales process, customer workspaces, support services, AI features, and voice services.

Updated October 8, 2026Version 1.1Contact: support@recoverypilotai.com

1. Scope and roles

This Policy applies to RecoveryPilot AI, LLC (“RecoveryPilot,” “we,” “us,” or “our”) and our websites, demonstrations, customer portals, support channels, and hosted services. When an agency customer submits or connects consumer, employee, call, collection-account, or operational information to the service, that customer determines why the information is used and RecoveryPilot processes it to provide the contracted service. The customer remains responsible for its notices, permissions, collection activity, employment practices, and instructions.

This Policy does not replace a customer’s privacy notice or the agreements governing a customer workspace.

2. Information we collect

3. How we use information

We use information to provide, secure, configure, support, bill for, and improve the service; authenticate users; implement customer instructions; operate AI and voice features; investigate errors and misuse; communicate about service and security; comply with legal obligations; and protect RecoveryPilot, customers, users, and others. We do not sell personal information for money. We do not use customer consumer data for independent debt-collection activity.

4. How information is disclosed

We disclose information to service providers and subprocessors that help deliver enabled features; to professional advisers under confidentiality; when required by valid legal process; to protect rights, safety, and service integrity; or in connection with a financing, reorganization, acquisition, or sale subject to appropriate protections. Our current provider categories and feature status are published in the Trust Center. Mobile information is handled under the stricter rule in section 7.

5. AI processing

AI features process only the context supplied by a user, customer configuration, or an authorized integration. Outputs may be incomplete or inaccurate and remain subject to configured human review and approval controls. Customer data is not intentionally used to train a public RecoveryPilot model. Provider handling depends on the enabled enterprise/API service and its contractual settings.

6. Calls, recordings, and monitoring

Voice and monitoring features are activated and configured by the customer. Customers must determine when notices, consent, recording disclosures, employee acknowledgments, or other permissions are required and must configure the service accordingly. RecoveryPilot processes associated data to provide the feature, create customer-directed records, troubleshoot, and maintain security.

7. Text messages and mobile information

RecoveryPilot operates the platform that agency text message programs run on. Each program is named, belongs to one agency, and has its own consent and support contacts. When you opt in to a program, the platform stores your mobile number and consent record so that program can send the messages you agreed to, honor STOP and HELP requests and keep evidence of your choice. Our SMS Terms and SMS Privacy notice describe this in more detail.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party, except with the service providers that deliver and process messages, and only to operate the service.

8. Security

RecoveryPilot uses administrative, technical, and organizational measures designed for the nature of the service, including role-based access, authentication controls, audit records, provider access controls, encrypted transport, and separation of customer workspaces. No system can be guaranteed completely secure. Security practices and customer responsibilities are summarized in the Trust Center.

9. Retention and deletion

We retain information for the period needed to provide the service, fulfill customer instructions, maintain security and audit records, resolve disputes, and satisfy legal or contractual requirements. Retention may vary by data type and enabled provider. At offboarding, customer export and deletion are handled under the customer agreement and documented workflow, subject to backups, legal holds, security records, and information RecoveryPilot must retain.

10. Your choices and requests

Website visitors and direct RecoveryPilot contacts may request access, correction, or deletion by emailing support@recoverypilotai.com. We may verify identity and authority before acting. If your information was provided by a RecoveryPilot customer, such as an employer or collection agency, contact that organization first; we will assist the customer as required by our agreement. Where applicable law provides additional rights, we will process verified requests accordingly.

11. Cookies and authentication

We use cookies or similar storage needed for security, authentication, session continuity, preference storage, and basic site operation. We may use limited analytics after they are configured and disclosed. Browser controls can restrict cookies, but essential features may stop working.

12. Children

The service is intended for businesses and authorized adult users, not children under 13. We do not knowingly solicit personal information directly from children.

13. Changes and contact

We may update this Policy as products, providers, or requirements change. The effective date and version will be revised, and material changes may also be communicated through the service or customer contact. Questions may be sent to RecoveryPilot AI, LLC, 1640 Powers Ferry Road, Building 15, Suite 300, Marietta, Georgia 30067, or support@recoverypilotai.com.
